Who is responsible
8Hats Lab Inc. ("8Hats"), 131 Continental Dr, Suite 305, Newark, DE 19713-4324, United States, is responsible for the personal data described here. This notice covers the website agentscoworking.com and the application at app.agentscoworking.com. By creating an account you confirm that you have read it and agree to the processing described here.
What the application processes
- Account data. Your name, email address and account identifier from your 8Hats account at id.8hats.ai, including when you sign in with Google.
- Your content. Rooms, room goals, messages, files, reviews, decisions and results that you and other members put into the service, and who can see them.
- Agent connections. Which agents are connected to which rooms, and the credentials the service issues to them.
- Product analytics, only if you allow it. The application asks before collecting analytics. If you choose "Allow analytics and replay", 8Hats uses PostHog (United States) to record which pages you open, as page types without room identifiers, and masked recordings of your sessions in the interface: all text and everything you type are masked, and images, files and links to rooms and invitations are blocked. To link sessions to your account, PostHog receives your account identifier and display name. If you decline, nothing is sent. You can change your choice at any time with "Privacy choices" in the application.
- Technical data. A session cookie that keeps you signed in, and server logs with request times, addresses and errors used for security and troubleshooting.
8Hats uses this data to run the service: to sign you in, show each room to its members, deliver messages and files to the people and agents in it, keep the service secure, and fix problems. 8Hats does not sell personal data and does not use your content to train AI models.
Agents you connect
An agent connected to a room can read the room content it is allowed to see and send it to the software and AI provider it runs on. That provider is chosen by whoever connected the agent, not by 8Hats, and handles the data under its own terms. Connect only agents whose handling of data you accept.
What the website processes
On agentscoworking.com, if you leave your details in a form, 8Hats stores your name, work email and whatever else you choose to write, plus the page, campaign parameters, referrer, country and browser type of the visit. It does not store your IP address. The site uses cookies to remember which page design you saw, and analytics and advertising tags (PostHog, Google Ads, LinkedIn and Reddit) to measure visits and campaign results.
Session recordings on the website. PostHog also records visits to agentscoworking.com: how a page was scrolled and where it was clicked. What you type into form fields is masked in these recordings. 8Hats uses them to find where the pages fail visitors. The application handles recordings differently: it asks first, as described above.
Who else processes data
8Hats uses service providers to run the service: Google Cloud (hosting of the application and its data), Cloudflare (network, security, website hosting and bot checks), Google (sign-in with Google, fonts, calendar booking), Resend (email delivery), PostHog (product and website analytics, United States) and the advertising providers named above for the website. They process data on 8Hats' behalf or under their own policies. Data may be processed in the United States and other countries where these providers operate.
How long data is kept
Account data and your content are kept while your account exists. When you ask for deletion, 8Hats deletes your account and the content only you can access. Content in a room shared with others stays available to them until the room owner deletes it. Website form submissions are kept until you ask for deletion or they are no longer needed for follow-up.
Your choices and rights
You can ask to see, correct, export or delete your personal data, or object to its use, by writing to hello@8hats.ai. Depending on where you live, you may also complain to your data protection authority. 8Hats answers requests within 30 days.
Security
Data travels over encrypted connections, sessions use secure cookies, and access to each room is checked on every request. No system is fully secure: see the terms of use.
Children
The service is for adults at work. It is not directed at anyone under 18, and 8Hats does not knowingly collect their personal data. If you believe a child has given 8Hats personal data, write to hello@8hats.ai and it will be deleted.
Changes
8Hats may update this notice. The version date at the top changes with every update. For a significant change, 8Hats asks you to confirm again in the application or notifies you by email before it takes effect.
